Directorate of Executive Council, General Conference and Specialized Ministerial Conferences

He shall, under directives and guidance of the Director General, fulfill the following tasks:
  • Prepare for the meetings of the Executive Council, General Conference, Specialized Ministerial Conferences and the regular conference of National Commissions’ Secretaries;
  • Coordinate with the parties concerned regarding the preparation of the documents of the above-mentioned meetings;
  • Supervise the organizational arrangements for these meetings;
  • Prepare periodical reports on the Secretariat’s activities;
  • Ensure follow-up on and coordination of the tasks and activities of the Secretariat’s divisions;
  • Arrange for the Organization to take part in parallel institutions’ Executive Board and General Conference meetings, and organize the coordination meetings held by ISESCO on these occasions;
  • Handle and follow up on matters which may be entrusted to him by the Director General where necessary.
Division of the Executive Council
  • It undertakes the following tasks:
  • Prepare the documents and technical reports as part of the Secretariat’s direct prerogatives and send them within the specified deadline to the parties concerned;
  • Prepare for the Executive Council sessions and provide the technical services required in coordination with the relevant parties;
  • Coordinate with the parties concerned with regard to preparation of the documents, draft decisions, reports and final communiqués of the Executive Council sessions and send them within the specified deadline to the parties concerned;
  • Follow up on the implementation of the decisions and recommendations of the various sessions of the Executive Council, in coordination with the directorates, centres and divisions concerned;
  • Supervise organizational arrangements for the Executive Council sessions;
  • Send the outcome of the sessions to Executive Council members;
  • Keep the documents of the Executive Council sessions.
Division of the General Conference
  • It undertakes the following tasks:
  • Prepare for the General Conference sessions and provide the technical services required in coordination with the relevant directorates, centres and divisions;
  • Coordinate with the parties concerned with regard to preparation of the documents of the General Conference and its committees, in coordination with the various directorates and centres, and send them to the parties concerned within the specified deadline;
  • Follow up on the implementation of the resolutions and recommendations of the various sessions of the General Conference, in coordination with the directorates, centres and divisions concerned;
  • Supervise organizational arrangements for the General Conference’s sessions;
  • Send the outcome of the General Conference’s sessions to the Member States, the parties concerned and to the members of both the Executive Council and the General Conference;
  • Keep the documents and files of the various sessions of the General Conference;
Division of the Specialized Ministerial Conferences
  • It shall undertake the following tasks:
  • Supervise the preparation for conferences and secure the technical services required, in coordination with the relevant directorates and centres;
  • Contribute to preparing the draft agenda, draft programme and draft resolutions of each session, in coordination with the relevant directorate;
  • Coordinate with the relevant Directorate to prepare conference documents and send them to the relevant parties within the specified deadline;
  • Follow up on the implementation of conference resolutions and recommendations, in coordination with the relevant directorates and centres;
  • Supervise organizational arrangements and preparations in site for the sessions of the specialized ministerial conferences;
  • Send the outcome of the specialized ministerial conferences to the parties concerned and the Member States;
  • Keep the documents and files of the specialized ministerial conferences.
Division of Relations and Cooperation with National Commissions
  • It shall undertake the following tasks:
  • Organize working visits to the Organization’s headquarters for the new secretaries general and staff of National Commissions and mutual visits between National Commissions;
  • Hold regular meetings of National Commissions’ secretaries general;
  • Train staff of national Commissions to upgrade their vocational skills relative to the Organization’s programmes and activities;
  • Consult the National Commissions of the Member States regarding the preparation of the projects and plans which the General Directorate intends to present to its supreme authorities;
  • Extend financial support and technical assistance to National Commissions to help them develop their performance and perform their functions;
  • Ensure support to the activities of the National Commissions of the Member States in the Organization’s fields of competence, in partnership with specialized institutions and civil society organizations.
Division of Awards and Special Programmes
  • It shall undertake the following tasks:
  • Supervise ISESCO Awards and follow up to the winners announcement phases, in coordination with the directorates and centers concerned in the Organization and partners concerned;
  • Develop conceptions and put forward suggestions related to the creation of new ISESCO awards and developing implementation mechanisms of existing awards and their contents;
  • Prepare necessary reports on the implementation of awards’ programme;
  • Coordinate the participation of ISESCO in regional and international awards in its areas of competence;
  • Cooperate and coordinate with Member States, regional and international bodies, and civil society institutions to create new awards falling within ISESCO’s areas of competence and interest;
  • Supervise the Secretariat of the Kingdom of Saudi Arabia Award for Environmental Management in the Islamic World;
  • Coordinate with the directorates and centers concerned in the Organization to implement special programmes in the regions affected by natural disasters, wars and diseases; and extend support thereto;
  • Organize field visits to camps of refugees, displaced people and immigrants, identify primary needs, and supervise the provision of support thereto;
  • Follow up to the developments in Member States and Islamic communities, and develop urgent intervention programmes in coordination and cooperation with Member States, regional and international institutions and bodies, and civil society institutions concerned;
  • Participate in the preparation and organization of regional and international conferences held by ISESCO partners in its areas of competence to finance education, reconstruction and support educational, scientific and cultural institutions.
